Job Title: Admin Officer
Location: Jeddah Saudi Arabia
Job Summary:
The Administrative Officer will play a key role in managing the day-to-day administrative operations of the trading company. This position involves overseeing office activities, supporting various departments, and ensuring smooth communication and coordination.
Responsibilities:
• Supervise and coordinate administrative staff to ensure efficient office operations.
• Manage office supplies, equipment, and facilities.
• Maintain organized records, documents, and files related to trading activities.
• Handle incoming and outgoing communications, including emails, letters, and phone calls.
• Schedule and coordinate meetings, conferences, and appointments.
• Prepare meeting agendas and take minutes as needed.
• Arrange facilities and logistics for meetings.
• Make travel arrangements for company executives and staff.
• Coordinate travel itineraries, accommodation, and transportation.
• Assist in preparing and monitoring the office budget.
• Track and manage expenses, ensuring cost-effectiveness
• Liaise with vendors and suppliers for office-related services.
• Ensure compliance with health and safety guidelines.
• Coordinate emergency response plans.
• Address administrative issues raised by employees.
• Coordinate employee engagement activities.
• Oversee the implementation and maintenance of office technology and systems.
• Collaborate with the IT department to address technical issues.
Qualifications:
• Bachelor's degree in Business Administration, Management, or a related field.
• Proven experience in administrative roles, preferably in a trading or financial services environment.
• Strong organizational, communication, and interpersonal skills.
• Proficient in Microsoft Office Suite and other relevant software.
• Familiarity with trading industry regulations and compliance is a plus.
