Description

Responsibilities:

General Administrative Support:

Answer and direct phone calls to appropriate personnel.
Greet visitors and ensure they are directed to the appropriate person or department.
Assist in managing and scheduling appointments, meetings, and conferences.
Handle incoming and outgoing mail, email, and faxes.
Document Management:

Create, edit, and format documents, reports, and presentations.
Maintain digital and physical filing systems for easy retrieval of documents.
Organize and maintain confidential and sensitive information.
Communication:

Draft and proofread correspondence, emails, and memos.
Communicate effectively with team members, clients, and external contacts.
Assist in coordinating internal and external communication.
Data Entry and Record Keeping:
Input data accurately into databases and spreadsheets.
Maintain accurate records and update databases as needed.
Generate reports and summaries as required.
Travel and Logistics:

Arrange travel itineraries, including flights, accommodations, and transportation.
Assist in coordinating travel logistics for employees.
Calendar Management:

Manage calendars, schedule appointments, and coordinate meetings.
Send out meeting invitations and reminders.
Office Supplies and Inventory:

Monitor office supplies and place orders as necessary.
Keep track of inventory and restock office supplies as needed.
Event Coordination:

Assist in planning and organizing company events, workshops, and meetings.
Coordinate event logistics, including venue booking, catering, and materials.
Assistance to Managers and Teams:

Support managers and teams with various administrative tasks.
Assist in preparing reports, presentations, and other documents.
Ad hoc Tasks:

Handle special projects and tasks as assigned by supervisors.
Provide additional support to various departments as required.

Qualifications:

Bachelor Degree in Bussiness administrator
Proven experience as an administrative assistant or in a similar role.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational and time management skills.
Excellent communication and interpersonal abilities.
Attention to detail and accuracy in work.
Ability to handle confidential and sensitive information.
Strong problem-solving skills and ability to adapt to changing priorities.
Professional demeanor and positive attitude.
Knowledge of office equipment and basic office management procedures.
