Position Overview
Fleetex360 is looking for a Fleet Coordinator to support the day-to-day coordination and administration of fleet operations.
The successful candidate will coordinate vehicles, drivers, maintenance activities, workshops, suppliers and fleet documentation while ensuring accurate records, timely follow-up and smooth daily operations.
Key Responsibilities
Fleet Coordination
Coordinate daily fleet activities and vehicle availability.
Maintain accurate records of vehicles, assignments and operational status.
Follow up on vehicle movements, allocation and utilization.
Coordinate vehicle replacements when required.
Monitor vehicle availability and report operational issues.
Ensure fleet records and documentation are updated.
Maintenance Coordination
Follow up on preventive maintenance schedules.
Coordinate vehicle servicing and repairs with workshops.
Track vehicles sent for maintenance and expected completion dates.
Maintain maintenance and repair records.
Follow up on breakdowns and vehicle downtime.
Escalate delayed or critical maintenance issues.
Support monitoring of maintenance costs and quotations.
Driver Coordination
Coordinate with drivers regarding vehicle assignments and operational requirements.
Monitor driver attendance and availability.
Follow up on driver-related issues and incidents.
Maintain driver documentation and records.
Support driver performance and compliance monitoring.
Fuel & Fleet Monitoring
Monitor vehicle mileage and fuel records.
Assist in identifying abnormal fuel consumption.
Maintain fuel and mileage reports.
Support vehicle utilization and cost monitoring.
GPS & Fleet Systems
Monitor vehicle tracking and GPS information.
Follow up on vehicle location and operational status when required.
Update fleet information in Fleetex360 systems.
Support implementation and daily use of the Fleetex360 fleet/CMMS platform.
Vendor & Workshop Coordination
Coordinate with workshops, leasing companies, rental companies and other suppliers.
Follow up on service requests and vehicle repairs.
Maintain records of vendor activities and charges.
Escalate service delays or unresolved issues to management.
Reporting & Documentation
Prepare daily, weekly and monthly fleet reports.
Maintain vehicle files and operational documentation.
Track maintenance, fuel, accidents, violations and other fleet activities.
Ensure information entered into fleet systems is accurate and up to date.
Provide required information to management and clients.
Requirements
Diploma or Bachelor's degree in Logistics, Transportation, Automotive, Business Administration or a related field.
2–4 years of experience in fleet, transportation, logistics or a related operational role.
Good understanding of vehicle and fleet operations.
Experience coordinating with drivers, workshops and suppliers.
Good knowledge of Microsoft Excel and reporting.
Strong follow-up and coordination skills.
Good communication and organizational skills.
Ability to manage multiple tasks and operational priorities.
Saudi Arabia driving license is preferred.
