Description

The Purchasing Assistant is responsible for supporting the Purchasing Department in sourcing, procuring, and coordinating the supply of raw materials, packaging materials, machinery, spare parts, and general supplies from both local and international markets. The role includes supplier coordination, purchase order processing, shipment follow-up, import documentation, and ensuring timely delivery of materials to support production and business operations.

Key Responsibilities
Source and procure materials from local and international suppliers.
Obtain and evaluate quotations based on price, quality, lead time, and commercial terms.
Prepare and issue purchase orders through the ERP system.
Follow up with suppliers regarding order confirmations, production status, and delivery schedules.
Coordinate shipments by sea and air, ensuring timely dispatch and delivery.
Monitor Full Container Load (FCL), Less than Container Load (LCL), and air freight shipments.
Coordinate with freight forwarders, shipping lines, customs brokers, and logistics providers.
Prepare and verify import and export documentation, including commercial invoices, packing lists, certificates of origin, bills of lading, and air waybills.
Track shipments and provide regular status updates to internal stakeholders.
Maintain accurate purchasing records and supplier databases.
Coordinate with Production, Warehouse, Quality, Finance, and Planning departments to ensure material availability.
Resolve supplier issues related to quality, delivery delays, shortages, and discrepancies.
Monitor inventory levels and support replenishment planning.
Assist in supplier evaluation and performance monitoring.
Ensure compliance with company procurement policies and international trade regulations.
Maintain confidentiality of supplier pricing and commercial information.
Perform additional procurement and logistics duties as assigned by management.
Qualifications
Bachelor's degree in Business Administration, Supply Chain Management, Logistics, Commerce, or a related field.
2–4 years of experience in purchasing, procurement, or supply chain operations.
Experience in a manufacturing or FMCG environment is preferred.
Required Skills
Strong knowledge of local and international procurement.
Experience sourcing from China, Europe, the USA, and other global markets.
Knowledge of sea freight and air freight operations.
Understanding of FCL and LCL container shipments.
Familiarity with Incoterms (EXW, FOB, FCA, CIF, CFR, DDP, etc.).
Knowledge of import/export documentation and customs procedures.
Experience coordinating with freight forwarders and logistics providers.
Strong negotiation and supplier relationship management skills.
Excellent analytical, organizational, and problem-solving abilities.
Proficiency in Microsoft Excel and ERP systems such as SAP, Odoo, Oracle, or Microsoft Dynamics.
Good written and verbal communication skills in English; Arabic is an advantage.
