Job Overview
In the logistics and refrigerated transportation (cold chain) industry is the vital link between the sales team, the warehouse/drivers, and the customer.
The Sales Coordinator manages the end-to-end sales administrative process, ensuring that customer orders are processed accurately, transit temperatures are monitored, and delivery schedules are met to maintain product integrity.

Key Responsibilities
1. Order Management & Scheduling
Process Sales Orders- Convert sales quotes into active bookings within the Transport Management System (TMS).
Load Coordination: Coordinate with the dispatch team to ensure refrigerated trucks are available and positioned for timely pickups.
Cold Chain Compliance: Verify that specific temperature requirements are clearly documented on every order.

2. Customer Service & Account Support
Real-time Tracking: Provide customers with updates on their shipment status using GPS and remote temperature monitoring tools.
Documentation: Manage specialized paperwork, including Bills of Lading (BOL), Health Certificates, and ZATCA-compliant e-invoices.

3. Sales Support & Lead Management
Quote Preparation: Assist sales managers by calculating freight rates based on weight, distance, and specialized cooling requirements.
Lead Qualification: Filter incoming inquiries from food producers, retailers, and pharma companies to identify high-value sales opportunities.

4. Quality Control & Reporting
Temperature Logs: Maintain records of temperature logs during transit to provide to customers upon delivery.
Performance Metrics: Track KPIs such as "On-Time Delivery" and "Reefer Unit Reliability" to support sales pitches for contract renewals.



Required Skills & Qualifications
Industry Knowledge: Understanding of logistics or refrigerated transport equipment , "First Expired, First Out" (FEFO) principles, and food safety standards (like HACCP).
Logistics Software: Proficiency in ERP (e.g., SAP, Oracle, or specialized logistics platforms).
Communication: Ability to bridge the gap between the "sales talk" given to clients and the "technical talk" needed for drivers and warehouse staff.
Problem Solving: Extreme calmness under pressure deciding what to do with a truckload of food items if a cooling unit fails is a high-stakes scenario.
