Description

To oversee the administration and processing of all vehicle warranty claims in accordance with manufacturer policies and guidelines. The Warranty Supervisor ensures accurate documentation, claim submissions, approvals, and recoveries from the OEM, while supporting service operations and maintaining compliance.

Key Responsibilities:
1. Warranty Claim Management:
Review and validate all warranty claims submitted by service advisors or technicians.

Ensure claims meet manufacturer policies and are submitted within allowed timeframes.

Approve and process accurate claims to the manufacturer’s warranty portal.

2. OEM & Manufacturer Communication:
Liaise with the OEM on warranty approvals, audits, technical bulletins, and policy changes.

Track claim rejections and resubmit with required justifications or corrections.

Maintain updated knowledge of warranty policies for each car brand.

3. Documentation & Compliance:
Ensure complete documentation for every warranty case, including job cards, diagnostics, photos, and reports.

Maintain records of all processed, approved, and rejected claims.

Ensure compliance with internal processes and external audit standards.

4. Workshop Coordination:
Work closely with workshop supervisors and service advisors to ensure accurate failure diagnoses and proper documentation.

Support frontline teams in understanding what is covered under warranty and provide technical clarification when needed.

5. Cost Recovery & Reporting:
Monitor warranty revenue recovery rates and prepare periodic reports.

Investigate and reduce loss due to rejected or underpaid claims.

Identify trends in repeated failures or high-cost repairs and report to management.

6. Staff Training and Support:
Train and support service advisors and technicians on warranty documentation and coding.

Conduct internal audits and spot checks to maintain quality.

7. Warranty Audits:
Prepare documentation and reports for internal and external (OEM) warranty audits.

Implement corrective actions based on audit findings and prevent future discrepancies.
