We are seeking a skilled and organized Administrative Assistant to join our team. As an integral part of our organization, you will provide crucial support to ensure the smooth operation of daily administrative tasks. The ideal candidate is proactive, detail-oriented, and capable of handling a diverse range of responsibilities.

Key Responsibilities:


Client Communication:

Serve as the first point of contact for client proposals, communications and other admin related work for projects assigned.
Manage incoming calls, emails, and correspondence, redirecting them as appropriate.

Scheduling and Coordination:

Schedule and coordinate appointments, meetings, and conferences.
Prepare meeting agendas, take minutes, and distribute relevant documentation.

Data Entry and Record Keeping:

Accurately input and update data in databases and spreadsheets.
Maintain organized filing systems for easy retrieval of documents.

Travel Arrangements:

Coordinate travel plans, including booking flights, hotels, and transportation.
Prepare travel itineraries and ensure travel expenses are accurately documented.

Administrative Support:

Assist in the preparation and distribution of reports, presentations, and other documents.
Handle general administrative tasks, such as photocopying, scanning, and mail distribution.

Problem Solving:

Address and resolve administrative issues in a timely and effective manner.
Proactively identify areas for process improvement and implement solutions.

Qualifications:

Minimum 2 years of proven experience as an administrative assistant or in a similar role.
Proficiency in Microsoft Office Suite and other relevant software.
Strong organizational and time-management skills.
Excellent verbal and written communication abilities.
Discretion and the ability to handle sensitive information with confidentiality.
Adaptability and a positive attitude in a fast-paced environment.

Education:

College degree of related or similar background. Additional qualifications in office administration or a related field are a plus.
