ADMIN ASSISTANT

Key Responsibilities:

Invoice Processing:

Receive and review invoices related to railway projects for accuracy and completeness.
Coordinate with vendors and suppliers to resolve any invoicing discrepancies.
Ensure timely approval and processing of invoices in accordance with organizational policies.
Budget Management:

Assist in the creation and monitoring of project budgets in collaboration with project managers and finance teams.
Track and report on budget expenditures, providing regular updates to project stakeholders.
Work with project managers to identify and address any budgetary concerns or deviations.
Financial Documentation:

Maintain organized and up-to-date financial records, including invoices, receipts, and budgetary documents.
Prepare financial reports and summaries as required by project managers and finance teams.
Assist in the preparation of financial documentation for audits and reviews.
Communication and Coordination:

Facilitate effective communication between project managers and the finance department regarding budgetary and invoicing matters.
Collaborate with team members to gather necessary financial information for reporting purposes.
Expense Tracking:

Monitor project-related expenses and ensure compliance with approved budgets.
Reconcile expense reports and credit card statements to verify accuracy.
Administrative Support:

Provide general administrative support to the project team, including filing, data entry, and document management.
Assist in the coordination of meetings and events related to project finances.
Qualifications:

Minimum of a high school diploma; additional education in finance, accounting, or business administration is a plus.
Proven experience in administrative roles with a focus on invoicing and budget management.
Familiarity with financial software and tools for budget tracking.
Strong attention to detail and accuracy in financial record-keeping.
Excellent organizational and time-management skills.
Effective communication skills and the ability to work collaboratively with cross-functional teams.
